[igrav-steering] IGrav Steering Committee Meeting

Hi,

Have just discussed with the LVK team. The LOC are under pressure to keep costs as low as possible, so they were nervous about lumping the cost in. There are two options:

  *   Add IGrav as an "optional extra" for the LVK meeting (c.f. the banquet), with a nominal cost for lunch catering (~£25/person)
     *   non-LVK members could use the same booking link to register (but will be advised to not book a "main" LVK meeting ticket
  *   Make the meeting free and ask participants to fend for themselves - I could see about swinging cost of coffee from Cardiff group

Hi Livia,

We have webcams that can be used in the other rooms, and projectors etc., but it's probably easier just to use someone's laptop to run zoom. We should be able to find some decent conference speaker phones as well.

The lecture theatre has a PC connected to the projector system, which should allow it to use the full "lecture capture" infrastructure. That should allow remote people to hear the talks, and also to contribute talks as well if required.

Hi Chris,

thanks a lot, it looks excellent. There was no extra fee for the amaldi meeting  to the best of my memory: I don't think people will complain if the cost of the coffee break is included in the overall fee for the LVK meeting, if that is possible. I would not ask fee to non LVK-members, I agree with your considerations.

Is the zoom connection only available in the main lecture hall? does it mean that from remote one cannot follow the full program of the day?

One thing that occurs to me - there's now a cost to this meeting. Rooms are free, but catering is not. I can't remember what happened in July 2019 regarding paying for it. Is it appropriate to include this in LVK meeting costs (I'm on the LOC for the LVK so can ask for that)? It obviously won't be a significant cost compared to the full LVK due to the much smaller group and only being one day - but just wanted to check no one thinks that's inappropriate.

Should we ask for a registration fee for non-LVK members? This is in principle doable, but seems quite a lot of hassle for a relatively small number of people, and this obviously benefits the whole of LVK (as well as others), unless we add an option onto LVK payment system (details of which are still TBC).

Your email is perfectly timed. Chris and I had to meet today about IPA, and I verified with him that we are set to have the annual IGrav meeting on Friday, September 16, at Cardiff. There will be a coatings workshop on Friday, but we don't think we will lose too many folks to that, so we think we should move forward. Therefore it is a good time for another Steering Committee meeting.
